Build a custom agent or buy another SaaS tool?

Buy when the process is standard
Payroll, basic bookkeeping, email hosting, and card payments are solved. Do not commission a custom agent to replace Xero. You will lose.
Stitch when the tools are fine and the handoff is not
Your CRM, inbox, and calendar may already be good. The waste is the copy-paste. A small agent that reads a form, writes the CRM row, and drafts the reply is often enough. That is the shape of CRM automation.
Build when the process is how you win work
If the way you qualify a lead, price a job, or read a document is specific to your firm, off-the-shelf software will flatten it. That is when a custom agent earns its keep: it follows your rules, uses your language, and stops when a human should take over.
Sales teams that run multi-channel outreach usually hit this wall. A generic sequencer blasts. A designed workflow, like channel-aware outreach, respects lists, timing, and who must approve a send.
A rule you can use on Monday
Write the process in ten steps. If eight of those steps are the same for every company in your industry, buy. If four of them are unique to how you sell or deliver, build. If you cannot write the steps, do not buy and do not build. Fix the process first.
